Promised Pricing – Order Price to be considered for invoicing to Retailers 

Price mismatches between order placement and invoicing have long been a source of disputes between distributors and retailers, leading to billing errors, manual claims, delayed payments, and strained relationships. 

To prevent these inconsistencies, Botree DMS supports locked pricing at the time of order placement. Whether the order is created manually or pushed from SFA, the invoiced rate will always reflect the originally agreed price, ensure clarity and eliminate claims.

How it works 

  • Configure the number of days the original order rate should apply directly from the backend. 
  • SFA orders capture the latest rate in DMS; direct billing remains editable. 
  • This feature can be enabled via configuration from DMS backend. 
  • In sales returns, the system uses the original rate if referenced; otherwise, it applies the current rate. 
  • The captured order rate is locked and non-editable across billing, order-to-billing (O2B), and return screens. 
  • Rate differences from this logic are excluded from rate difference claims. 
  • A new column is added in reports like transactions, order, billing, sales return, claims, and GST shows the edited sell rate for better clarity and auditability. 

Example in Action

A distributor receives an order from retailer through SFA at a price of Rs. 100 per unit. Two days later the batch price rises to Rs.105, Earlier this would have led to mismatched billing and manual claims. Now, the system locks the price of Rs.100 at the time of order- ensuring accurate billing and zero follow-ups. 

Order Notifications from SFA & Retailer App in DMS 

Distributors often miss order updates because the system doesn’t alert them when retailers place new orders through SFA or the retailer app. This results in missed deliveries, delayed fulfilment, and poor coordination. 

To fix this visibility gap, Botree DMS now sends real-time order notifications directly within the system. Distributors receive alerts with full order details—customer name, quantity, order source, enabling them to act immediately and avoid delays.

How does it work 

  • To enable real time notification, data flow integration has been done between botree retailer app RSFA, SFA, and DMS 
  • A dedicated “Orders” tab is now available under the notification bell icon in DMS. 
  • Distributors can enable or disable order notification through backend configuration as needed. 
  • A summary of order information such as order source, customer name, order number, and quantity, with the notification date matching the order date is also included. 
  • Notification stays active until the ordered is converted into bill. 

Example in action 

A retailer places an order through the app late in evening, immediately the assigned distributor receives notification in the DMS under the “order” tab in the bell icon the retailer’s name, order number, and quantity. Earlier this order would have gone unnoticed by the distributor until manually checked until the next day. Now, the distributor schedules the delivery immediately without any delays. 

Scheme Reporting Enhancements 

Lack of detailed insights into scheme performance, especially for undelivered or partially fulfilled orders made it difficult for managers to track budgets, validate claims, or assess regional effectiveness. 

DMS reports have been enhanced with new filters and fields that offer a complete view of scheme utilization across sales hierarchies and delivery statuses. The reports support data-driven decision-making.

How does it work 

  • To let the user view data for delivered, undelivered and vehicle allocated orders a new ‘delivery status’ filter has been added. 
  • The ‘Report on Level’ filter helps in enabling dynamic analysis at any sales hierarchy level. 
  • A ‘Scheme Claimable’ filter helps in validating claim-eligible schemes with precision. 
  • Columns now include scheme details, sales hierarchy codes and names, distributor information, and utilized value. 
  • Based on the selected level the hierarchy columns adjust automatically, showing relevant parent levels and utilization data inly for the chosen level. 
  • To avoid duplication, the Scheme Budget column has been taken out.

     

New Reports Added
 

  1. Scheme Budget vs Utilization Report – Provides a consolidated view of budgeted vs utilized amounts at the defined sales hierarchy level, with filters for date, delivery status, and claimable status. 
  • Scheme Slab-wise Utilization Report Tracks utilization against each scheme slab. Users can toggle between Sales and Net Sales using the ‘Transaction Type’ filter. 

Additional Enhancements 

Other enhancements include a new Price Discount Usage cube, additional supplier fields, and improved tracking for draft purchase returns. 

Example in Action 

A zonal manager wants to track scheme performance mid-cycle, but many orders are still undelivered. Using the new delivery status and report-on-level filters, they quickly view data across all territories including pending orders, enabling faster insights and accurate claim validation. 

Points Based Scheme Master Approval 

Distributors and managers lacked complete visibility into scheme changes and approvals leading to inconsistent rollouts and poor governance.  

 

To enforce stronger control, DMS supports multi-level approval workflows for points-based schemes. Every new scheme or edit must go through a defined review process before it goes live. Approvers receive real-time notifications and can view change summaries before granting approval.

  • Every newly created or edited points-based scheme is routed through this configured approval process. 
  • Approvers receive in-app and email notifications with scheme reference numbers and direct links for review. 
  • Real-time status of scheme creation (Approved, Pending, Rejected) & edits (Edit Approved, Edit Pending) are now visible. 
  • The DMS Approval Report now reflects the status of these schemes for added visibility. 
  • For edited schemes, a “View Edits” button appears, allowing approvers to see “line-level changes” 
  • Clicking the “View Edits” icon opens a user-friendly popup summarizing the requested edits. 
  • Scheme creators are notified once the approval is complete, whether approved or rejected. 
  • Email alerts are triggered to all designated approvers as defined in the approval hierarchy. 
  • Schemes and edits go live only after approval, based on the effective date set. 

 

Example in action 

A manager creates a new points-based scheme for a specific region. As soon as it’s submitted, the approvers receive a notification in DMS with a direct link to review the details. Earlier, this scheme would have gone live without any checks. Now, the approver reviews the proposal, views the “Edit Summary,” and approves it instantly ensuring better control.
